How we use your personal data when you visit landscapingos.co.uk or book a demo.

Who we are

Landscaping OS is provided by Apex Advantage Ltd, a company registered in England and Wales (company number 16979374). Registered office: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ. We are registered with the Information Commissioner’s Office (ICO) as a data controller, registration number ZC089692.

This notice covers this website and the demo form. If you become a customer, the Landscaping OS app privacy notice explains how we handle data inside the app.

What we collect

  • When you book a demo: your name, mobile number, business name and the best time to call you.
  • If you accept analytics cookies: how you use this page (pages viewed, clicks, scrolling, device and browser type, approximate location from your IP address). Microsoft Clarity records anonymised sessions with typed text masked.
  • If you accept advertising cookies: identifiers that show us whether you arrived from one of our Google or Meta adverts and whether you then booked a demo.
  • Always: our hosting provider keeps short-term technical logs (such as IP address and pages requested) to deliver the site and keep it secure.

Google user data

The Landscaping OS app (app.landscapingos.co.uk) lets customers connect Google Calendar. If they choose to (Settings, Connected accounts), we ask Google for read-only access to their calendars (the “calendar.readonly” permission).

  • What we read: the list of calendars switched on in Google, and the title, time and location of today’s events in them.
  • What we use it for: only to show today’s jobs on the Today screen in Landscaping OS. Nothing else.
  • What we keep: we don’t store calendar events. They’re read from Google each time the Today screen opens. We keep only the access tokens Google gives us, encrypted, so the connection keeps working.
  • Who sees it: only the customer and their team in their Landscaping OS account. We don’t share, sell or transfer Google data to anyone, use it for advertising, or use it to train AI models. Our staff don’t read it unless the customer asks us to for support, or the law requires it.
  • Removing access: disconnect in Settings at any time and we delete the tokens straight away. Access can also be removed in the Google Account (Security, Third-party apps).

Landscaping OS’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we use it, and our lawful basis

  • To arrange your demo and follow it up: we call you at the time you chose, show you Landscaping OS and answer your questions. Lawful basis: taking steps at your request before a possible contract, and our legitimate interest in replying to people who ask us for a demo.
  • To improve the website: analytics, only with your consent.
  • To measure and run our adverts: advertising cookies, only with your consent.
  • To keep the site secure and working: our legitimate interest.

We don’t sell your data, and we don’t add you to marketing lists from the demo form.

Who we share it with

  • Vercel: hosts this website.
  • Supabase: stores demo requests in our customer records system, in the UK (London).
  • Google (Google Analytics, Google Ads): only if you accept analytics or advertising cookies.
  • Microsoft (Clarity): only if you accept analytics cookies.
  • Meta (Meta Pixel): only if you accept advertising cookies.

We may also share data if the law requires it.

International transfers

Demo requests are stored in the UK. Some of the providers above may process data outside the UK, for example in the United States. Where they do, it is protected by the UK–US Data Bridge or by UK-approved contract clauses.

How long we keep it

  • Demo requests: 12 months from your request if you don’t become a customer. If you do, we keep your details for as long as you’re a customer, as set out in the app privacy notice.
  • Cookies: see the cookie policy for how long each one lasts.

Your rights

You can ask to see the personal data we hold about you, have it corrected or deleted, restrict or object to how we use it, or ask for a copy to take elsewhere. Where we rely on your consent, you can withdraw it at any time, including by using “Cookie preferences” at the bottom of the page. Email joshua.crane@apexadvantage.co.uk. We reply within one month.
